UFS Audit - November 2019

This is to advise Key Contacts of the availability of the UFS Responsibility by Department report.  Key Contacts must ensure that users hold the correct responsibilties, leavers access has been removed and Key Contact details are correct. The report is available all year round and it is advisable to check access in preparation for the forthcoming audit.

During the week comencing  Monday 25th November, the UFS Responsibility by Department report will be emailed out to Key Contacts as part of the UFS Audit and inline with the auditors requirements.

It is the responsibility of the Key Contacts to review and sign off the Audit Report in reply to the original audit email.

Deposit Account – Interest Payment & Emailed Enforced Movement Letters

Please note Deposit Account interest has been credited for October 2019 in CUFS

Enforced Movements

As part of monthly monitoring the Treasury & Investments team have carried out deposit movements to correct debit balances on Sources of Funds. Affected departments will receive documentation indicating which accounts have been adjusted.

Emailed Enforced Movement Letters

Departments will now receive enforced movement letters via email. If these are being received by the incorrect contact or you have not received a notification you were expecting, please contact Treasury & Investments.

November 2019 Deposit Account Interest

Please ensure deposit movements for November 2019 have been processed by the close of 5th December 2019, and that overdrawn accounts have had funds taken off deposit by this time to avoid delays in crediting November’s Interest.

Cambridge University Endowment Fund – Distribution

Distribution October 2019

Please note that the Cambridge University Endowment Fund (Amalgamated Fund) distribution for October 2019 has been processed in the October 2019 CUFS period at 216.54p per unit per annum.

AR External Customers Data Cleanse exercise

A data cleanse exercise is planned for Thursday 21st November, during a vulnerable period, to tidy up and rationalise the AR external customer database within CUFS as it has many thousands of customers that are no longer required as either they have been set up in error or we are no longer trading with them .

The first stage of this process will involve automatically deactivating where:

  • the customer site has not had an invoice raised against it in the last 18 months
  • if they fall into the above bracket, then the customer site was also not created within the last 6 months
  • the customer is not used for interface purposes (esales, WPM, propman, ALMA, Scott Polar, Sports Synd etc.)
  • the customer is not branded as a ‘Research’, a ‘Internal Trading’, or a ‘GROUP’ customer
  • a site does not have an outstanding debt

We recognise that the process of setting up external customers in CUFS can be a challenge and Departments are encouraged to use the Central Service if they require any new customers or sites. However, remember that sometimes it might be more appropriate to use the eSales system to collect monies from customers (especially individuals) in advance and hence remove the need to set up the customer and raise a sales invoice in CUFS completely.

If you find that a customer site has been deactivated erroneously please email the Central Service on ARCustomer@admin.cam.ac.uk who will happily rectify this for you.
